A conference does not fit in a spreadsheet

Registration
The attendee registers on the event website, chooses their fee, workshops and hotel, and pays by card or bank transfer.

They receive their badge with a signed QR code on their phone, also in Apple Wallet or Google Wallet.

Entry
At the door the QR code is validated in seconds, even without Wi-Fi. Each room’s occupancy is visible in real time.

Programme, speakers, posters and announcements in the event app, with the conference’s own branding.

Certificate
It is issued automatically, and only to those who actually attended: the attendance recorded in the room decides who receives it.

Before the event
Everything that happens from the moment the conference is announced until the doors open.
- Event website Your conference website, on your own domain, in several languages and without writing a line of code.
- Registration and payments Fees by date and by profile, workshops with limited places, accompanying persons and payment by card or bank transfer.
- Accommodation Hotel allocations by room type and night, booked and paid for without a single phone call.
- Scientific submissions The author submits, the committee scores against a rubric, and accepted work moves straight into the programme.
- Programme and speakers A programme by room that updates at once on the website, in the app and in the PDF.
- Sponsors and exhibitors Sponsorship tiers, a profile for each exhibitor and a floor plan of the stands.
- Emails and notifications Campaigns, templates and automatic emails to attendees, with opens and clicks measured.
During the event
The venue: badges, entry points, front desk, rooms and posters.
- Badges and wallet A signed QR code that cannot be forged, on the phone, in Apple Wallet or Google Wallet, or printed.
- Access control An access app for phones or handheld scanners that works offline, with real-time occupancy per room.
- On-site secretariat A front desk with no queues, a till with card terminal, self-print kiosks and meal control.
- Posters and touch viewer From accepted work to the touch screen, with search and voting, without printing anything.
- Event app An app with the conference’s branding on the App Store and Google Play, with the badge inside.
After the event
Closing properly: certificates, feedback and figures.
- Certificates Issued automatically based on actual attendance, with a secure verification code and hours or credits.
- Surveys and feedback General or per session, anonymous or identified, exportable to Excel.
- Reports and attendance Registrations, attendance by time slot, entries, no-shows and payments, without cross-referencing spreadsheets.

What we are often asked
What is RocketLoom?
It is Aduxia’s platform for organising conferences, professional meetings and events. It brings together in one place the event website, registration and payments, badges, access control, scientific submissions, certificates and the event app.
Is it a new product?
The brand is, the platform is not. Aduxia has spent years developing it and using it at real conferences: more than 48 conferences launched and more than 24,000 registrations managed. RocketLoom is that experience turned into a product of our own.
Is it only for scientific or medical conferences?
No. It works just as well for technical meetings, trade fairs, corporate and institutional events or courses. The scientific modules, such as submissions or posters, are only switched on if the event needs them.
Do I have to take all the modules?
No. It can be taken as a whole or in parts, and whatever you take works with the rest from day one. Modules can be added and capacity increased later on.
What if there is no connection at the venue?
Badges are validated offline: the QR code is digitally signed and the access app checks the signature on the device itself. Entries are sent once the connection returns.
Where is my attendees’ data stored?
Each event has its own installation and its own database, separate from any other organiser’s. The data is yours: you can export it to Excel whenever you like.
Can I see it working before deciding?
Yes. QUBIT 2027 is a demonstration conference with everything switched on and fictitious data, open to anyone. And if you write to us, we will show you the platform with your event, not a made-up one.
